Why can I only see 5,000 Assets?

Efficiently access and manage large Asset fleets in Perspio by using filters to navigate beyond the 5,000-asset view limit.

Overview

In the Assets Inspector, Perspio loads a maximum of 5,000 assets per view to maintain optimal performance and responsiveness. When your tenant contains more than 5,000 assets, a banner will appear stating:

"Showing 5000 of 8479 assets. To view more, apply filters or check permissions."

This limit ensures that both the asset list and map interface load quickly, even when displaying high-volume datasets. To view additional assets, you can refine your results using the filtering options available in the Asset Inspector.


Understanding the Interface

1. Asset List and Map View

The main Assets screen displays your fleet both as a list (left panel) and a map (right panel).

Left Panel

  • Search Assets: Quickly locate assets by ID, name, or keyword.

  • Add (+): Add a new asset or import data (permissions required).

  • Filter (funnel): Open the Asset Inspector to refine visible assets.

  • Settings (cog): Adjust configuration preferences and access saved profiles.

Map Panel

The map provides a global overview of asset distribution. Clusters represent asset groups by region or site, with colour-coded rings for quick status insight. Zoom in to reveal smaller clusters or individual assets.

Note: Large numbers of visible assets can slow browser rendering. The 5,000-asset cap prevents this while still offering detailed, filter-driven visibility.


Filtering Assets to See More

When more than 5,000 assets exist, Perspio will only display the first 5,000 results. To refine your list, apply one or more filters using the Asset Inspector.

Step 1: Open the Asset Inspector

Click the Filter (funnel) icon above the asset list. The filter panel will open with multiple fields available to narrow your view.

Step 2: Available Filter Fields

  • Branch State / Branch Code / Branch Name – Filter assets by region or operational branch.

  • Category – Filter by asset grouping (e.g., Access Equipment, Vehicles, Generators).

  • Type – Define asset subtype (e.g., Knuckle Boom 60ft (18.3M)).

  • Make – Filter by manufacturer or brand.

  • Hire Status – Filter by hire state such as On Hire, In, or Available.

  • Service Status – Identify assets in or due for servicing.

  • Customer Name – View assets assigned to specific customers.

Step 3: Search and Apply Filters

Click on a field (e.g., Category or Type) to expand the dropdown selector. You can search for terms and tick one or multiple options. Each filter applied reduces the dataset and helps bring your results below the 5,000 limit.

Step 4: Save or Reset Filters

  • Save to Profile – Store frequently used filter sets for future sessions.

  • Save to Session – Apply filters temporarily for your current browser session.

  • Reset Filters – Clear all filters and return to the default asset view.

 

 

Example

  1. Open Assets. If the banner "Showing 5000 of X assets" appears, click the Filter icon.

  2. In the Asset Inspector, select relevant filters (e.g., Category: Knuckle Booms, Branch: NSW).

  3. Use the Search field inside dropdowns to quickly locate values.

  4. Once the total drops below 5,000, all assets that match your filters will load and appear on the map.

  5. (Optional) Save your filter combination using Save to Profile for quick access later.


Troubleshooting

I applied filters but still see the 5,000 limit.
Add additional filters such as Branch or Hire Status until your result set reduces further.

I can’t find a specific asset.
Use the Search Assets field to locate assets by ID or name. If it’s still missing, verify your user permissions or filters.

My saved profile is not visible to colleagues.
Profiles saved under Save to Profile are private to your user account unless shared by an administrator.

Do filters affect reports?
Filters in the Assets Module apply only to the map and list view; they do not modify global reports.

 


Best Practices

  • Always start filtering by Category or Type to reduce asset volume efficiently.

  • Apply Branch filters early for geographically large fleets.

  • Save routine filter combinations as Profiles for faster navigation.

  • Regularly verify filter combinations for accuracy if your asset pool changes.
