Utilisation Summary (with thresholds) Report

Understand and evaluate utilisation performance against operational thresholds for fleet and asset monitoring.

Overview

The Utilisation Summary (with thresholds) report provides a performance snapshot across selected assets, comparing daily changes in Run Hours or Odometer readings against predefined utilisation thresholds. It is designed to highlight both normal usage and excess utilisation across a fleet or group of assets.

This report is useful for performance tracking, overuse detection, and cost attribution. By establishing thresholds and excess charging points (for hours and/or distance), the report helps identify assets that exceed expected operational use, enabling timely intervention or reallocation.

Each row summarises meter values by day and asset, along with indicators for threshold breaches. Both daily and cumulative values are shown, and assets are grouped and sorted by asset ID.


Report Structure

The generated report includes the following data columns:

Column Name Description
Asset Id Internal Perspio asset identifier.
Asset Name Human-readable label identifying the asset.
Branch Code Region or depot to which the asset is assigned.
Meter Indicates whether the readings are based on Odometer (distance) or Run Hours (time), and whether they are cumulative or daily.
Date Columns (e.g. 22 Nov – 28 Nov) Shows the individual daily meter reading values for each selected day.
Days Above Threshold (Run Hours) Number of days within the selected period where daily run hours exceeded the specified threshold.
Hours Above Charging Point (Run Hours) Total number of hours above the defined charging threshold.
Days Above Threshold (Odometer) Number of days within the selected period where distance travelled exceeded the defined threshold.
Excess Above Charging Point (Odometer) Total kilometres driven above the charging threshold.

At the bottom of each report, a timestamp indicates when the data was generated, including the local time zone (e.g. AEST).


How to Generate the Report

  1. Navigate to Reports → Performance & Utilisation → Utilisation Summary (with thresholds).

  2. Select the Scope (Relative or Range) and define the desired Period.

  3. Choose one or more Assets using the asset selector.

  4. Set your Threshold values for time (Run Hours) and/or distance (Odometer):

    • Threshold (Hours)

    • Excess Charging Point (Hours)

    • Threshold (Distance)

    • Excess Charging Point (Distance)

  5. Define the Asset Type (e.g. On-Road, Off-Road) and Meter Source (e.g. Preferred).

  6. Click Run Report.

Once generated, the report can be viewed on-screen, downloaded as a PDF, PDF/A, XLSX or exported to CSV for further processing.


Applicability and Use Cases

1. Performance Benchmarking

Monitor how individual assets perform relative to set expectations or limits. Quickly identify underused or overused assets across a given period.

2. Overuse Detection

The “Excess” columns highlight where operational hours or distances exceeded set limits—ideal for cost attribution, billing, or contract compliance.

3. Maintenance Scheduling

Using run hours or odometer values, fleet teams can assess upcoming service requirements based on usage deltas.

4. Cost Control and Charging

Apply usage-based charging models for internal departments or external customers. Easily track who exceeded fair use.

5. Fleet Planning

Evaluate which assets may be oversubscribed or underutilised to optimise future deployments or capital investments.


Interpreting the Data

  • High "Days Above Threshold" values suggest recurring overutilisation.

  • The “Excess Charging Point” metric quantifies by how much the asset exceeded the operational allowance.

  • Zero or very low usage may indicate assets that are idle, unavailable, or under-deployed.

  • Sudden spikes in cumulative readings could indicate usage surges or faulty meter data.
