Service Reminders Report

Track upcoming, overdue, or scheduled service events across your fleet.

Overview

The Service Reminders report provides a consolidated view of all upcoming, scheduled, and overdue service events for your fleet assets. It draws on asset telemetry and predefined maintenance schedules to help you ensure timely servicing and compliance with maintenance programs.

This report enables operations, fleet, and compliance teams to monitor due dates, plan servicing activities, and avoid missed service intervals. Each row represents a service reminder entry for a specific asset, detailing the program, type, due status, and associated timestamps.

This report is particularly useful for managing preventive maintenance, improving asset longevity, and staying on top of logbook requirements or warranty schedules.


Report Structure

The generated report includes the following data columns:

Column Name Description
Reminder ID Unique identifier of the service reminder associated with the asset and program.
Asset ID Internal ID of the asset, used for system-level identification and filtering.
Asset Name The display name of the asset linked to the service program.
Program Name The name of the service program configured for the asset (e.g., 10K Service, Oil Change, UTEs).
Schedule Name The type of schedule applied to the program (e.g., Road Vehicles, Meter Scheduled, Combo Scheduled).
Last Service Date and time when the last recorded service occurred for this program.
Next Service The expected or scheduled date for the next service event.
Type Defines how the schedule is triggered: based on distance (Meter), time (Date), or a combination (Combo).
Status Indicates the current status of the reminder, such as Scheduled, Overdue, No Data, or Upcoming.

At the bottom of the report, a generation timestamp confirms when the report was produced, including the local timezone for context.


How to Generate the Report

  1. Navigate to Reports → Asset Telemetry → Service Reminders

  2. Use the Assets dropdown to select one or more assets to include in the report.

  3. Use the Due In filter to narrow the results by service status (e.g., Overdue, 1 Day, 3 Days, 1 Week).

  4. Click Run Report.

Once generated, results are displayed in a table view and can be exported in PDF, PDF/A, XLSX or CSV format.


Applicability and Use Cases

The Service Reminders report is widely used in preventative maintenance programs and workshop scheduling. Below are common use cases:

1. Preventive Maintenance Planning

Ensures that services are completed on time, minimising the risk of mechanical failure and extending the lifecycle of fleet assets.

2. Workshop and Scheduling Coordination

Fleet managers can use this report to prepare and book servicing activities in advance, avoiding scheduling conflicts and minimising asset downtime.

3. Overdue Service Identification

Quickly flags assets that have exceeded service thresholds (time, distance, or both), enabling immediate follow-up and risk mitigation.

4. Regulatory Compliance and Warranty Fulfilment

Supports adherence to manufacturer maintenance schedules or regulatory standards. Helps demonstrate compliance with servicing requirements for warranty validation.

5. Operational Oversight

By comparing assets across multiple programs, the report provides a full picture of your service compliance and maintenance backlog across locations or business units.


Interpreting the Data

  • “Overdue” status indicates the asset has missed its scheduled service, requiring immediate attention.

  • “No Data” may signal missing telemetry (e.g., no odometer readings or timestamps), misconfiguration, or device connectivity issues.

  • “Combo Scheduled” programs use both distance and date triggers, depending on which occurs first.

  • Assets with recurring programs will automatically refresh once the service is completed and recorded.

  • Review entries with near-future “Next Service” dates to plan ahead.
