Service Reminders

This article covers the Service Reminders menu, how to add service entries, and how to interpret the displayed values.

The Service Reminders menu in the Servicing Module offers a streamlined interface to track and update maintenance reminders based on predefined schedules and asset-specific thresholds. This feature is essential for ensuring that critical maintenance tasks are not overlooked and assets remain in optimal working condition.

 

Understanding the Service Reminders Table

Each row in the table represents a service reminder for an individual asset. The following columns are displayed:

  • Asset ID: The unique identifier of the asset.

  • External ID: External system reference (e.g., from an ERP).

  • Asset Name: Display name of the asset.

  • Schedule: The servicing schedule assigned (e.g., Road Vehicles).

  • Program: The service program used (e.g., UTES, Odi Program).

  • Type: Asset category (e.g., Combo).

  • Current Value: Odometer or Run Hours (depending on schedule).

  • Last Serviced: The date or distance/hours of the last recorded service. If none exists, this shows No Entry.

  • Next Service: Predicted value at which the next service is due, based on the schedule logic.

  • Status: Indicates if the asset is Overdue or has No Data (missing prior service entries or telemetry data).

  • Actions: Displays the Add Entry button for creating a new servicing log.

You can search for specific assets using the Search assets bar at the top or apply filters using the funnel icon.

You may also adjust the time range for displayed reminders using the date slider control, e.g., view entries due in the next 1 month. The list can also be exported by clicking the Export button.


Adding a New Service Entry

To register a new service entry:

  1. Click the Add Entry button on the right-hand side of the asset row.

  2. A modal window titled Add Service Entry will appear.

  3. Complete the following fields:

    • Reminder: Select the reminder reference ID (auto-filled if applicable).

    • Service Date: Choose the date the service occurred.

    • Run Hours (optional): Add the engine hours recorded at time of service.

    • Odometer (optional): Enter the odometer reading at time of service.

    • Serviced By: Name of the technician or team member who completed the service.

Once completed, click Create to save the entry, or Discard to cancel.

The entry will immediately update the reminder and reset the service countdown based on the configured schedule.

Note: If both odometer and run hours are left blank, the system may be unable to calculate the next reminder, especially for combo-based schedules.

 


Reminder Logic

Service Reminders follow thresholds set in the associated Service Schedule, which can be configured for:

  • Odometer-based servicing

  • Run hour–based servicing

  • Combo servicing (whichever occurs first)

The reminder will automatically update the Next Service field and its Status once a new entry is created and the asset’s telemetry starts populating updated values.

If telemetry data is missing or the device is disconnected, Current Value will not update, and No Data or Overdue may appear erroneously. In these cases, confirm that the asset is receiving data or manually review servicing intervals.


Best Practices & Troubleshooting

  • Use the Export function to regularly review overdue or no-data assets and plan upcoming servicing.

  • Confirm that assets have valid telemetry mapped to either Run Hours or Odometer fields to ensure automatic tracking.

  • If using ERP data instead of telemetry, make sure that inspection/service forms are completed promptly and submitted.

  • Verify Device Health and Schema Assignments for assets with no data to ensure fields are configured correctly.

  • Use the Service Schedules and Service Programs menus to manage global logic and thresholds.
