Report Includes Assets That Are Offline or Discontinued

In some cases, users may notice that a report includes assets that are no longer active or relevant, such as archived, offline, or discontinued assets. This article outlines the reasons why this may happen, and what you can do to resolve or prevent this behaviour.

Overview

Perspio reports are designed to include a wide range of data to ensure visibility and traceability. However, if reports include outdated or irrelevant assets, it may clutter your reporting and affect the quality of insights. This issue typically arises from one or more of the following causes:

  • Assets are no longer active but remain unarchived.

  • The report is not filtered by asset status or group.

  • Security Group permissions allow visibility over discontinued assets.

  • The asset has a schema that is still technically compatible with the report type.


Common Causes

1. Assets Are Not Archived

Assets that are offline, unused, or removed from your operations may still appear in reports if they have not been archived in the system.

  • Archiving an asset is the most effective way to ensure it does not appear in future report runs.

  • Assets must be manually archived by an administrator or someone with the appropriate permission level.

Tip: Use the “Asset Inventory” or “Asset Inspector” module to check asset status and archive inactive entries as needed.


2. Reports Do Not Automatically Exclude Offline Assets

By default, most reports in Perspio include all assets available within the selected group or tenant. Unless explicitly filtered, reports will include assets regardless of their current online/offline status.

  • This ensures historical data is still accessible.

  • However, this can cause confusion if the report spans a date range where the asset is no longer active.

Workaround: Add filters to the report or select a group that only includes active assets.


3. Security Groups Still Grant Access

If a user’s security group has access to all assets in the tenant or to a broad group that includes offline assets, these assets will appear in the report.

  • Review Security Group settings in Admin > Security Groups.

  • Adjust access to only include current, relevant assets.


4. Schema Compatibility

Certain reports are schema-dependent. An asset might still appear in the report because its schema matches the supported schema type, even if the asset is not transmitting data anymore.

  • Schema alignment is critical in determining report eligibility.

  • Confirm whether the asset is still transmitting data through Device Health or Asset Inspector before assuming it's inactive.


How to Prevent This

Archive Inactive Assets

Navigate to:
Assets > Asset Details > [Select Asset] > Archive Button

Once archived, assets will:

  • No longer appear in asset selection menus

  • Be excluded from most reports (unless explicitly included)


Use Dynamic Groups to Manage Active Assets

Create or update a dynamic group that includes only:

  • Assets with Device Health “Healthy”

  • Assets that have been active within a specific timeframe

Go to:
Admin > Groups > Dynamic Group Editor


Add Filters in Report Parameters

While generating a report, look for options such as:

  • Date Range: Only show assets active during the selected timeframe

  • Asset Groups: Select groups that exclude discontinued or archived assets
