My Group Doesn’t Show the Right Assets
If an Asset or Security Group is not showing the expected assets in Perspio, this is typically due to the group membership configuration or asset properties not meeting the group’s criteria. This article outlines how Groups work, key menus and controls that impact group visibility, and how to troubleshoot common causes of missing or incorrect assets.
How Groups Work
Groups in Perspio are used to logically organise assets (e.g. vehicles, equipment, etc.) for better reporting, filtering, and workflow management. Each group can contain a static or dynamic list of members based on its Membership Type:

Manual Membership: Assets are selected manually and will stay in the group until removed.

Dynamic Membership: Assets are included automatically based on a condition builder (e.g. if “Type is equal to Vehicle”). Assets enter and exit the group automatically depending on whether they match the defined condition(s).
If your group isn’t showing the expected assets, the issue is most likely related to:

Membership type changes

Filters or geofences applied

Incorrect dynamic conditions

Asset data not matching the criteria
Menus and Screen Controls Overview
Membership Type Controls
Located at the top of the Asset Members tab.

Manual: Select specific assets to be added to the group.

Dynamic: Automatically adds assets based on a rule.

Warning: Switching from Manual to Dynamic (or vice versa) will remove all existing assets from the group. Assets will only reappear if they meet the new condition or are manually added again.
Asset Members Tab
This tab shows the current assets in the group.

Search and Add Assets (Manual only): Use the search bar to locate and add assets.

Dynamic Rule Builder (Dynamic only): A visual interface to build logical conditions (e.g. “Category is equal to Vehicles”).

Export Button: Exports a CSV of current group members.

Remove Button (Manual): Immediately removes an asset from the group.
Geofence Members Tab
Defines geographic logic for group membership.

When a geofence is added to a group, only assets inside the geofence are shown as group members.

Assets automatically leave the group when they exit the geofence and re-enter when they come back inside.
Audit Logs Tab
View recent changes to the group including:

User changes (e.g. edits, asset adds/removes)

System changes (e.g. automatic updates from dynamic conditions)

Use filters to search by date, user, or operation.
Troubleshooting Steps
1. Check Membership Type
Go to the Asset Members tab. Confirm whether the group is set to Manual or Dynamic:

If set to Dynamic, click Edit and review the conditions.

Make sure the asset properties (Type, Category, State, etc.) match the condition logic.
2. Review Dynamic Conditions
If your condition uses filters like "Category is equal to Vehicles" or “State is 1”:

Check the actual data for the asset in question.

If the Category or State doesn’t match, it won’t be added.
3. Inspect Geofence Settings
Go to the Geofence Members tab:

If one or more geofences are added, assets will only appear in the group when they are physically inside these geofences.

Remove the geofence temporarily to test visibility.
4. Search the Audit Logs
In the Audit Logs tab:

Check if the asset was recently removed manually or excluded by a membership type change.

Look for changes that occurred around the time the asset disappeared.
Important Notes
-
Manual to Dynamic Change: Changing a group from Manual to Dynamic removes all manually added assets. This is irreversible unless you switch back or re-add assets.

Dynamic Membership: Always ensure asset metadata is correctly populated and up to date, especially Type, Category, Branch, and State.

Geofence Logic: Only live assets inside the geofence will be listed. If GPS data is missing or delayed, assets may appear to have left.
Recommendation
To maintain accuracy and consistency:

Use Dynamic membership for automatically managed fleets or branches.

Use Manual membership for specific, static asset lists.

Avoid mixing manual logic with geofence-driven rules unless necessary.
