My Dynamic Group Now Shows 0 Assets

If your Dynamic Asset or Security Group is suddenly displaying 0 assets, this usually indicates that the conditions defined in the membership rule no longer match any assets in your environment. This article explains how to troubleshoot and resolve this issue.

Understanding Dynamic Groups

Dynamic Groups allow you to automatically include or exclude assets based on specific rules and conditions—such as asset category, branch, custom fields, or states. Assets enter or exit the group in real-time based on whether they meet these conditions.

You can configure dynamic rules using the Asset Members tab when the group’s Membership Type is set to Dynamic.


Common Causes for Assets Disappearing

Here are the most common reasons your dynamic group may show 0 assets:

1. Conditions No Longer Match Any Assets

  • One or more values used in the condition builder may have been renamed or deleted.

  • Asset records may have been updated (e.g. changed category, type, or branch).

  • Typing errors or overly strict filters can also result in no assets matching.

2. Incorrect Logic or Operators

  • Using "Equal to" where "Contains" or "Starts with" would be more appropriate.

  • Selecting a string-type condition and entering numeric or mismatched values.

3. Asset Data Not Populated

  • Some fields used in your condition (e.g., Category, Branch) may not be populated for all assets.

  • If the asset has no value for the condition field, it won’t be included.


Screen Overview: Asset Members Tab (Dynamic Mode)

When in Dynamic Membership Mode, the screen includes the following controls and features:

Section Description
Membership Type Toggle Select between Manual and Dynamic modes. Switching to Manual will remove assets previously matched dynamically.
Condition Builder Interface where you define rules such as “Category is equal to VEHICLES”. You can stack multiple filters using logic operators.
"Show Assets" Button Preview which assets match the current filter conditions.
"Variable Inspector" Displays available attributes and data types you can use to build rules.
Search Bar Allows searching within the matched assets (if any).
Export Button Exports a list of matched assets to CSV.
Settings Cogwheel Used to manage table view options (columns, pagination, etc.).
Asset Table Shows the assets currently matching the conditions. If the table is empty, your filters may be too restrictive.

What Happens When Switching Membership Type

If you switch from Dynamic to Manual, all dynamically matched assets will be removed. You will need to manually re-add assets to the group if needed. There is no rollback—the system will not remember which assets were previously included.

If switching from Manual to Dynamic, the existing manually added assets will also be cleared, and only assets matching the rule will be shown.


Troubleshooting Steps

Follow these steps if your dynamic group shows no assets:

  1. Review the Condition Builder

    • Check the field name, operator, and value.

    • Ensure the logic makes sense and is not too restrictive.

  2. Use the "Show Assets" Button

    • Press this to test your condition. If the preview returns no results, it confirms that nothing matches your filter.

  3. Use the "Variable Inspector"

    • Confirm that the field names and data types you are using are available and correctly formatted.

  4. Test a Simpler Rule

    • Temporarily simplify the condition to a single broad rule (e.g., Category is equal to VEHICLES) and check if assets appear.

  5. Inspect Asset Records

    • Go to the Assets tab and inspect a few assets manually to confirm what values they have for the fields used in the filter.

  6. Check for Data Clean-Up

    • Confirm with your administrator if any categories, types, or fields were modified recently.


Best Practices

  • Keep rules simple and test progressively.

  • Avoid using fields that are inconsistently populated across your fleet.

  • Document the rules used in the Condition Builder for future reference.

  • Regularly review Dynamic Groups after major asset imports or integrations.
